01 · Built for adjuster workflow

Insurance adjusters need technical roof partners who deliver clean documentation.

Commercial roof insurance claims succeed or fail on documentation quality. Carriers process thousands of claims annually and rely on structured, carrier-format documentation from contractors to process claims efficiently. The difference between a clean 30-60 day claim close and a dragged-out 6-12 month disputed claim often comes down to how the contractor documented damage, scope, and coverage triggers. Our workflow is built specifically around what adjusters — staff, independent, and public — need to efficiently process claims.

Standard documentation package: Xactimate estimate in line-item format matching carrier requirements, drone imagery with annotated damage points, core sample photography showing existing system and damage cross-section, moisture mapping (infrared thermography or electrical conductance testing) across full roof, decking inspection report for structural damage, RCV/ACV analysis with depreciation worksheets, ordinance-and-law (O&L) line items separated for coverage evaluation, contractor license documentation, and project insurance certificates. Format adjusted for carrier preference — we've worked with State Farm, Nationwide, Travelers, Cincinnati Financial, Hartford, Liberty Mutual, Church Mutual, Zurich, Chubb, and Lloyd's-syndicate specialty lines.

For Helene-area claims (FEMA DR-4827, September 2024), we've moved through dozens of commercial claim cycles. Helene-specific challenges: sustained wind damage documentation beyond typical storm scope, NC 2023 energy code ordinance-and-law triggers for R-30 insulation upgrade, supply chain delay documentation, FEMA Public Assistance coordination, and RCV/ACV disputes on older roofs. Our insurance claims documentation workflow integrates Helene-specific considerations throughout. For Asheville/WNC metro Helene-area work specifically, our Flat Rock NC headquarters puts us in direct local position.

For public adjuster coordination, we work either direct-with-carrier or with a PA — technical roof documentation is the same either way. What differs is who receives and negotiates the documentation. For complex claims where PA and carrier adjuster disagree on scope, we provide additional technical documentation to support scope position. For appraisal clause proceedings, we can serve as owner-appointed appraiser, provide technical consultation to either appointed appraiser, or provide supporting documentation for umpire review. For subrogation scenarios, we provide damage cause identification, failure mode analysis, and supplier documentation supporting carrier recovery.

03 · Adjuster workflow

How we work with adjusters on commercial claims.

Six-phase workflow from initial adjuster coordination through completion and depreciation recovery. Workflow adapts to carrier requirements and to whether claim runs direct-with-carrier, through independent adjuster, or through public adjuster.

01

Initial adjuster coordination

Adjuster intake: carrier identification, claim number, policy terms (RCV/ACV, O&L limits, deductible, hurricane deductible if applicable), cause-of-loss claimed, and property details. On-site inspection scheduled with adjuster for joint visit where possible — efficient use of adjuster time.

02

Joint or sequential on-site inspection

On-site damage assessment with adjuster present where possible. Visual and drone inspection of full roof. Active-leak identification with containment recommendations if required. Core sample photography. Moisture mapping (infrared or electrical conductance). Decking inspection. Photography of all damage observations with adjuster acknowledgment.

03

Carrier-format documentation package

Documentation package delivered within 5-10 business days: Xactimate estimate in carrier line-item format, drone imagery with annotated damage, core sample photography, moisture mapping, decking inspection report, RCV/ACV analysis with depreciation worksheets, O&L line items separated, contractor license documentation, project insurance certificates.

04

Scope discussion and coverage alignment

Scope discussion with adjuster before formal estimate submission. Cause-of-loss determination, repair vs replacement determination, materials spec, and coverage trigger review. Coverage approval letter obtained from carrier with scope agreement documented.

05

Install with progress documentation

Permanent repair or replacement installed per approved scope. Progress photography throughout (daily or per-phase). For tear-off: existing system documentation with additional cause-of-loss evidence photography. For install: installation-stage photography supporting workmanship and materials compliance.

06

Completion documentation and depreciation recovery

Completion certificate and as-built documentation delivered to carrier. For RCV coverage with depreciation holdback: depreciation release request with supporting documentation (receipts, permits, certificates). Manufacturer NDL warranty registered. Full closeout package to owner and carrier.

04 · Adjuster type-specific workflow

Workflow varies by adjuster type.

Staff adjusters (carrier employees) — typically work a specific geographic region for a specific carrier. Workflow: joint on-site inspection with our project manager; documentation package in carrier-specific format (State Farm, Nationwide, Travelers, etc. each have format preferences); scope discussion before formal estimate; coverage approval letter with documented scope agreement. For repeat staff adjuster engagements, we maintain carrier-specific documentation preferences to streamline processing.

Independent adjusters (IAs) — typically work across multiple carriers on a contracted basis. IAs handle catastrophic claim response (post-hurricane, post-tornado, major hail) and overflow capacity for carriers. For IAs working multiple claims simultaneously during CAT response, we coordinate on IA schedule with batch scheduling, standardized documentation, and carrier-specific formatting per IA's carrier assignment. For post-storm commercial claims, IA engagement is common during regional catastrophic events.

Public adjusters (PAs) — work for the insured, not the carrier, advocating for maximum claim recovery. Typical fee: 10-15% of claim recovery. For commercial claims with PA involvement, we coordinate directly with PA on documentation and scope. Technical roof expertise provided throughout PA negotiation with carrier. For complex claims where PA and carrier adjuster disagree, we provide additional documentation to support scope position.

Appraisal clause proceedings — policy appraisal clause is invoked when scope and cost disagreement between parties can't be resolved through standard negotiation. Process: owner-appointed appraiser + carrier-appointed appraiser + umpire if appraisers disagree. We can serve as owner-appointed appraiser on commercial roof claims, provide technical consultation to either appointed appraiser, or provide supporting documentation for umpire review. Owner-side engagements support maximum recovery; carrier-side engagements support scope accuracy.

Subrogation scenarios — carrier recovers from third-party cause (tenant-caused damage, contractor-installation defect, product failure). We provide technical roof documentation supporting subrogation claim: damage cause identification distinguishing storm/weather vs third-party fault, failure mode analysis for manufacturing or installation defect, supplier documentation for product-defect subrogation. For commercial roof subrogation, technical roof expertise is often material to recovery.

Questions adjusters ask.

How do you coordinate with carrier staff adjusters and independent adjusters?
Standard workflow: (1) initial damage assessment with our project manager and adjuster on-site together where possible — efficient use of adjuster time; (2) documentation package delivered within 5-10 business days of on-site visit in carrier-preferred format; (3) scope discussion before formal estimate submission to align on cause-of-loss, repair vs replacement determination, and materials spec; (4) coverage approval letter reviewed jointly to confirm scope agreement; (5) install with progress photography and documentation for carrier records; (6) completion documentation and depreciation recovery (RCV coverage). For IAs working across multiple carriers, we adapt documentation format to each carrier's requirements.
Do you work with public adjusters?
Yes. For commercial claims with public adjuster involvement, we coordinate directly with the PA on documentation and scope. Technical roof expertise provided throughout PA negotiation with carrier. Our documentation package format is the same regardless of whether claim runs direct-with-carrier or through PA. For complex claims where PA and carrier adjuster disagree on scope, we can provide additional technical documentation (expanded moisture testing, additional core samples, engineering consultation coordination) to support scope position. For owners without existing PA relationship on complex claims, we can recommend PAs familiar with SE commercial roofing.
What documentation formats do you use for carrier claims?
Carrier-format documentation standard package: Xactimate estimate in line-item format matching carrier requirements; drone imagery with annotated damage points; core sample photography showing existing system and damage cross-section; moisture mapping (infrared thermography or electrical conductance testing) across full roof; decking inspection report for structural damage; RCV/ACV analysis with depreciation worksheets; ordinance-and-law (O&L) line items separated for coverage evaluation; contractor license documentation (NCLBGC, SC LLR, GA, TN per applicable state); project insurance certificates. Format adjusted for carrier preference — we've worked with State Farm, Nationwide, Travelers, Cincinnati Financial, Hartford, Liberty Mutual, Church Mutual, Zurich, Chubb, and Lloyd's-syndicate specialty lines.
How do you handle cause-of-loss disputes on storm damage claims?
Cause-of-loss disputes are common on older commercial roofs where carriers may argue "wear and tear" vs. covered peril. Our approach: (1) objective damage documentation showing storm-pattern damage (wind-uplift pattern consistent with storm direction and intensity; hail impact pattern with bruising or fracturing matching storm date); (2) pre-loss condition documentation where available (previous inspections, condition reports, historical photography); (3) meteorological verification of storm event at building location (wind speed, hail size, event date); (4) core sample analysis showing damage depth consistent with storm timing; (5) engineering consultation coordination for disputed claims where licensed PE assessment may be warranted. For Helene-area claims specifically, sustained-wind damage pattern documentation has been central to coverage determination.
Do you have experience with Helene-area commercial claims?
Yes. We've moved through dozens of Helene-area commercial claim cycles across Buncombe, Henderson, Transylvania, Haywood, Madison, Yancey, Mitchell, Polk, and Rutherford counties in NC plus affected areas in GA and TN. Helene-specific claim challenges we've worked through: (1) sustained wind damage documentation for coverage beyond typical storm-event scope; (2) NC 2023 energy code ordinance-and-law triggers for R-30 insulation upgrade on reroof; (3) supply chain delay documentation justifying extended claim timelines; (4) FEMA Public Assistance program coordination for eligible facility categories; (5) RCV vs ACV disputes on older roofs where depreciation and ordinance-and-law interact. Our insurance claim documentation workflow integrates Helene-specific considerations.
Can you participate in appraisal clause proceedings?
Yes. For claims where parties invoke the policy appraisal clause for scope and cost disagreement, we can provide technical roof expertise to support either side. Appraisal process typically involves: (1) owner-appointed appraiser reviews damage scope and pricing; (2) carrier-appointed appraiser reviews same; (3) umpire selection if appraisers disagree (neutral third party); (4) umpire decision binding on both parties. We can serve as the owner-appointed appraiser on commercial roof claims, provide technical consultation to either appointed appraiser, or provide supporting documentation for umpire review. For owner-side engagements, our work supports maximum recovery; for carrier-side engagements, our work supports scope accuracy.
What's your workflow for independent adjusters handling multiple claims?
For IAs working catastrophic claim response (post-hurricane, post-tornado outbreak, major hail event) across multiple claims simultaneously, we coordinate on IA schedule: (1) batch scheduling — multiple inspections in geographic cluster scheduled for single IA visit day; (2) standardized documentation package — consistent format across all claims in IA's workload; (3) carrier-specific formatting where IA works primarily with one or two carriers; (4) digital deliverables through IA's preferred platform (Xactimate cloud, MSB, Symbility, or carrier-specific); (5) rapid turnaround for high-volume claim processing during catastrophic events. For CAT team IAs mobilized post-Helene or post-major-hurricane, batch scheduling reduces total IA time in field.
Do you handle subrogation support?
Yes. For subrogation scenarios where carrier recovers from third-party cause (tenant-caused damage, contractor-installation defect, product failure), we provide technical roof documentation supporting the subrogation claim: (1) damage cause identification distinguishing storm/weather vs. third-party fault; (2) failure mode analysis for manufacturing defect or installation defect scenarios; (3) supplier documentation for product-defect subrogation; (4) lease/contract review coordination with carrier's subrogation attorney for tenant-caused damage. For carrier subrogation on commercial roof claims, technical roof expertise is often material to recovery.
